The Client Relations Specialist is a highly client-facing role responsible for managing real-time communication, onboarding, and ongoing support for both prospective and active clients.

Reporting to the Vice President and working closely with the Head of Client Relations, this individual serves as a primary point of contact across all communication channels email, phone, text, and video ensuring a seamless, responsive, and high-touch client experience.

This role is deeply embedded in the client lifecycle, frequently joining sales calls to initiate onboarding, supporting transaction requests, conducting client check-ins, and proactively following up to ensure all client activity including deposits, withdrawals, broker requests, portal access, and event participation is completed accurately and efficiently.

Key Responsibilities

Client Engagement & Communication

  • Serve as a primary, front-line point of contact for both prospective and active clients.

  • Communicate with clients throughout the day via email, phone, text, and video calls.

  • Be readily available to support clients in real time, including while they are at the bank initiating wires or requesting account actions.

  • Provide immediate guidance on wire instructions, funding confirmations, withdrawal processes, and portal access.

  • Join live sales calls (often without advance notice) to introduce onboarding and begin the account setup process immediately upon client commitment.

  • Conduct proactive client outreach, including check-ins to ensure client satisfaction and engagement.

  • Contact clients to confirm attendance for firm events and ensure a strong client experience.

  • Deliver a high-touch, patient, and professional experience confidently guiding clients through questions and processes with clarity and positivity.

  • Adhere to all company communication standards, SLAs, and established processes.


Client Onboarding & Account Activation

  • Lead the onboarding process from initial introduction through account activation with each client.

  • Guide clients in real-time through onboarding steps, documentation, and account setup.

  • Collect and verify KYC documentation; coordinate directly with brokers for application processing and funding.

  • Coordinate with the tech team to provision and troubleshoot client portal access during onboarding.

  • Ensure a seamless transition from sales to active client with minimal friction or delay.


Client Support, Follow-Up & Retention

  • Proactively follow up with clients on outstanding requests, documentation, account actions, and portal access needs.

  • Track and follow up on deposit activity, including wires not yet received by the broker.

  • Coordinate withdrawal requests, including submission, tracking, and ongoing follow-ups with brokers.

  • Manage and fulfill broker document requests for active client accounts, ensuring timely collection and submission of required materials.

  • Coordinate with the tech team to resolve client portal access issues and ensure a smooth user experience.

  • Communicate clearly with clients regarding any additional documentation or system access needed to maintain or service their accounts.

  • Conduct regular client check-ins to ensure satisfaction and identify any issues early.

  • Ensure all client requests are completed accurately, efficiently, and with clear communication.


Transaction Support & Tracking

  • Act as the central point of coordination for all client transaction activity.

  • Track deposits, withdrawals, and account funding status from initiation through completion.

  • Liaise with brokers and internal teams to ensure timely processing and issue resolution.

  • Maintain clear visibility and communication with clients regarding transaction timelines and status.


Client Communications & Inbox Management

  • Manage onboarding and client support inboxes as high-volume communication channels.

  • Monitor, triage, and respond to incoming client and prospect inquiries in real time.

  • Respond to introducer-related emails within the support inbox and coordinate with the Vice President as needed.

  • Escalate urgent or complex issues to the Vice President or coordinate internally as needed.

  • Maintain communication logs and ensure no client or introducer request goes unaddressed.

  • Follow all company communication standards, SLAs, and response protocols.


Broker & Internal Coordination

  • Work directly with partner brokers to coordinate account setup, deposits, withdrawals, and ongoing account maintenance.

  • Track and manage broker requests, including documentation, updates, and compliance-related items for active clients.

  • Collaborate with the Head of Client Relations on outreach, follow-ups, and overall client experience.

  • Coordinate with the tech team on client portal access, permissions, and issue resolution.

  • Coordinate with Sales and Trading teams to ensure alignment across the client lifecycle.

  • Maintain organized records of all client interactions, transactions, and documentation.


Executive & Operational Support

  • Support the Vice President with additional tasks, client-related initiatives, and operational needs as requested.

  • Assist with tracking, reporting, and follow-ups tied to client activity and firm initiatives.

  • Maintain accurate CRM records, onboarding data, and client documentation.

  • Ensure all processes are compliant, documented, and audit-ready.


Qualifications

  • 24 years of experience in a client-facing role (client services, onboarding, account management, or similar; financial services preferred).

  • Strong communication skills with confidence speaking to clients across phone, video, and written channels.

  • Comfortable being highly available and responsive throughout the day for real-time client needs.

  • Naturally positive, patient, and client-focused with the ability to guide clients through questions with clarity and professionalism.

  • Highly organized with strong attention to detail and follow-through.

  • Ability to manage multiple conversations, requests, and priorities simultaneously.

  • Proficiency in CRM systems, Google Workspace, and communication tools.

About the Role

We’re hiring a Data Engineer to sit at the intersection of our analytics and engineering teams. You’ll be responsible for making Pivotal’s product data accessible, reliable, and ready for analysis, connecting data sources to our warehouse, building clean transformation pipelines, and ensuring our analysts have what they need to drive business decisions.

This is not a traditional software engineering role and it’s not a pure analyst role either. You’ll bring a strong technical foundation and apply it in service of business outcomes: faster reporting, better data access, and more reliable pipelines that the team can actually trust.

What Youll Do

  • Own the pipeline from product database to analytics warehouse: Take full ownership of extracting data from our PostgreSQL product database and loading it into BigQuery. Design and maintain the ETL processes that make this happen reliably, with the right structure for downstream analytics use.

  • Bring in new data sources: Expand our analytics footprint by integrating new data sources, including third-party tools like Salesforce, into our warehouse. You’ll partner with our DevOps team to establish the right service accounts, permissions, and connection patterns to do this securely and correctly.

  • Build and maintain analytics-ready tables: Use dbt to design, build, and manage the transformation layer that turns raw data into clean, well-structured tables. You’ll have real ownership over what the data looks like: what gets modeled, how it’s shaped, and what makes it most useful for reporting.

  • Support reporting and business insights: Work alongside our analysts to support the reporting layer, ensuring data is fresh, accurate, and structured in a way that makes building dashboards and reports in Tableau, Power BI, or Metabase reliable and efficient.

  • Be the bridge between analytics and engineering: Attend engineering team meetings to stay ahead of product changes that could affect analytics. Serve as the connective tissue between both teams, translating data needs into technical solutions and keeping everyone aligned.

Who You Are

  • Strong SQL skills with hands-on experience in modern cloud data warehouses: BigQuery, Snowflake, or Redshift

  • Proficient with dbt for managing SQL transformations. You understand how to write clean, maintainable, well-documented models

  • Comfortable with Python at a working level, enough to build and automate data workflows without needing to be a full software engineer

  • Experience with at least one BI or reporting tool (Tableau, Power BI, Metabase, or similar)

  • You think in business outcomes: your resume reflects the impact your work had, not just the tools you used

  • Self-directed and comfortable with ambiguity: you can identify what needs to be done and execute without heavy guidance

Overview: We are seeking a high-caliber, technically proficient Corporate Controller to lead our Accounting function. This is a critical leadership role in a fast-paced, private equity-backed environment. The ideal candidate will oversee key Finance functions in a hands-on manner, including Internal Audit & Controls, Billing & Collections, Treasury, AP and Tax.

This individual will be responsible for institutionalizing financial processes, ensuring GAAP
compliance across multiple business lines, and driving financial reporting, while partnering closely with Client Services and Operations teams.

Successful candidates will be responsible for:

  • Leading monthly, quarterly, and year-end close processes, targeting a 7-day close;
  • Preparing a monthly “Reporting Package” for Management and the Board, including detailed variance analysis and bridges for EBITDA and Revenue;
  • Serving as the primary liaison for the annual audit and all tax compliance requirements;
  • Managing a team of 6-8 people across the various functions owned;
  • Overseeing the complex billing lifecycle for clients, including fee-based retainers, project-based milestones, and high-volume media pass-through (print, digital, social);
  • Managing and further automate recurring billing cycles, ensuring accurate mid-month upgrades, downgrades, and usage-based data sales charges;
  • Ensuring contract compliance by reviewing client Master Service Agreements (MSA) to ensure billing triggers align with revenue recognition under ASC 606;
  • Leading on collections strategy, including leading the “Order-to-Cash” process; establishing rigorous follow-up protocols to maintain a healthy DSO and maximize free cash flow generation;
  • Supervising the full “Procure-to-Pay” workflow, ensuring all agency vendors, data providers, and software hosting costs are vetted and coded correctly.
  • Owning the “Sequential Liability” process ensuring media vendors are paid accurately once client funds are received, a critical function in the advertising space;
  • Managing the corporate credit card program and employee expense reimbursement platform (e.g., Ramp), ensuring compliance with mandated travel policies;
  • Managing working capital optimization by securing optimal vendor payment terms and by leading organized, efficient AP processes;
  • Establishing and maintaining the companys formal capitalization policy in strict accordance with ASC 350-40 (Internal-Use Software) and ASC 985-20 (Software to be Sold, Leased, or Marketed);
  • Implementing and overseeing a rigorous time-tracking system to capture “Capitalizable vs. Non-Capitalizable” hours;
  • Managing documentation, reporting and impairment testing to provide visibility and ensure accuracy of capitalized costs;
  • Designing and enforcing a robust control environment to prevent fraud and ensure data integrity across the business platform;
  • Optimizing the ERP (e.g., NetSuite or Intacct) to automate the flow between the Customer Relations Manager (CRM) (Salesforce/HubSpot) and the General Ledger.

Must-have qualifications:

  • 812+ years of progressive accounting experience. Prior experience in a venture capital or private equity-backed company is highly preferred;
  • Bachelors degree in Accounting or Finance;
  • CPA certification is required;
  • Expert knowledge of the U.S. Generally Accepted Accounting Principles (GAAP) and specifically ASC 606;
  • Advanced proficiency in mid-to-enterprise tier ERPs (NetSuite or Sage Intacct) and proficiency in Excel modeling;
  • Direct experience managing and automating Finance & Accounting processes;
  • Experience in either professional services, technology or SaaS companies;
  • Strong attention to detail paired with the ability to see the bigger picture;
  • Experience leading cross-functional projects through to successful outcomes;

Salary range for this role is $225,000 to $250,000 per year, depending on experience.
